Map Team Members to Linq Blue Numbers
User Phone Mappings in GoHighLevel allows you to assign individual team members to specific Linq Blue phone numbers. This ensures that calls and messages are routed correctly and attributed to the right user on your account.
What Are User Phone Mappings?
User Phone Mappings link each GHL user to a specific Linq Blue number. When a user sends a message or makes a call, it comes from their assigned number, and all activity is logged under their name.
Why it matters:
- Ensures messages come from the correct user/number
- Properly attributes calls and messages to team members
- Prevents confusion about which user sent what
- Correctly logs analytics
Single-Line vs. Multi-Line Accounts
Single-Line Accounts (1 Linq Blue Number)
If you only have one Linq Blue number on your account, User Phone Mappings is optional but recommended. You can have all users share the same number, but mapping ensures clarity about who sent each message.
Multi-Line Accounts (2+ Linq Blue Numbers)
If you have multiple Linq Blue numbers, User Phone Mappings is essential. Each team member should be mapped to their own dedicated number to prevent cross-routing and confusion.
How to Set Up User Phone Mappings
Step 1: Access Settings
- Log into your GHL sub-account
- Go to Settings → Phone Numbers
- Click on the User Phone Mappings tab
Step 2: Assign Users to Numbers
- You'll see a list of your GHL users
- For each user, assign their Linq Blue number
- Make sure each number is assigned to the correct user (for multi-line setups, each user should have their own number)
Step 3: Save
Click Save to apply the mappings
Step 4: Verify Smart Number Assignment
Make sure Smart Number Assignment is toggled ON in Settings → Phone Numbers. This tells GHL to respect the user mappings you just created.
Best Practices
For Single-Line Teams:
- Map all team members to your one Linq Blue number
- Everyone will send/receive from the same number
- Messages will still show who sent them (activity is logged to the user)
For Multi-Line Teams:
- One user per number: Assign each team member their own dedicated Linq Blue number
- Dedicated roles: Assign numbers based on role or department if needed
- Backup numbers: If a user is out, you can temporarily reassign their number to another team member
Troubleshooting User Phone Mappings
Issue: Messages Sending from Wrong Number
Solution:
- Check User Phone Mappings to verify the user is mapped to the correct number
- Verify Smart Number Assignment is ON
- Have the user log out and log back into GHL
- Clear browser cache and refresh
Issue: Some Users Don't Appear in User Phone Mappings
Solution:
- Only users with messaging/calling permissions will appear
- Contact your GHL admin to grant the appropriate permissions to that user
- Wait a few minutes for the user to sync in the system
Issue: Can't Assign Numbers to Users
Solution:
- Make sure you have admin permissions in GHL
- Verify the Linq Blue numbers are actually added to your GHL account (Settings → Phone Numbers)
- Check that Smart Number Assignment is enabled
How User Phone Mappings Works with Messages
When a user sends an iMessage or SMS:
- Message is composed by User A
- User Phone Mappings checks: Which Linq Blue number is User A mapped to?
- Message routes from that assigned number
- Activity is logged under User A's name and associated with that number
- Recipient sees the Linq Blue number (not the user's personal number)
Important Notes
✅ User Phone Mappings + Smart Number Assignment = Proper routing
- Both need to be configured correctly for optimal message/call routing
✅ Multiple users can share one number (single-line teams)
- But mappings help attribute activity to the right person
❌ Don't assign multiple users to the same number (multi-line teams)
- This causes confusion and incorrect activity attribution
✅ Changes take effect immediately
- Once you save, users can use their assigned numbers right away
